Requirement Overview

The main objective of this role is to provide information, advice and booking services directly to our clients whilst delivering service excellence and positively promoting the Company brand.

This is achieved through exceeding the client’s expectations thereby creating long term relationships, fostering mutually beneficial relationships with suppliers and offering customers the best deals most suited to their needs.

Duties & Responsibilities

(An overview, but is not limited to the full function of the role)

  • Read, understand and adhere to all Service Level Agreements and Travel Policies for clients
  • Adherence to turnaround time as per SLA
  • Standard quote format to be used
  • Quote as per Travel Policy
  • Provide rules for changes and cancellation of services
  • Approval as per SLA
  • Book as per client preference
  • Ensure business and traveller profiles used
  • Relevant back-office entries are inserted into bookings
  • Advise clients regarding passports, visas, health requirements, foreign exchange, travel insurance, car parking, car hire, accommodation, transfers, excursions, and any other related service
  • Process clients booking including pre-seating, meals and any special requirements
  • Collect payment from clients while adhering to Company policy on form of payment and payment procedures (Leisure bookings)
  • Ensure all necessary documentation is issued within allocated time
  • Air ticket: Send to traveller and/or booker
  • Ensure all necessary documentation is issued within allocated time

  • Voucher: Send to supplier and traveller and/or booker
  • Ensure conditions of travel are clearly stated on the itinerary
  • All queries must be attended to immediately
  • Manage and control own GDS queues
  • Upload client purchase order/requisition document into Paper trail
  • Request pre-payments on Paper trail
  • Air tickets: Advise client of cancellation fees and/or options of reusing tickets
  • Log refund requests on Ourweb for BSP to process
  • Land arrangements: Advise clients of cancellation fees if applicable
  • Cancel vouchers & request refund from supplier if applicable
  • Air tickets: Advise client of change fees
  • Reissue ticket upon approval by client
  • Land arrangements: Advise clients of change fees if applicable
  • Proceed with changes upon approval by client
  • Remain flexible to the wider business needs of the company by rendering assistance for ad hoc projects and duties as required
  • Ensure technical and product knowledge is updated regularly
  • Update and gain destination & product knowledge by attending industry workshops
  • Contribute to a constructive and positive work environment
  • Enthusiasm to assist colleagues
  • Show commitment, be flexible, reliable and responsible
  • Keep the team informed, support and respect others

Personal Competencies

  • Proficiency in English; knowledge of additional language is an advantage
  • Well versed in various areas of travel
  • Possess competent written and verbal communications skills
  • Possess effective organizational skills and the ability to complete multiple tasks and a high volume of work on deadline
  • Attention to detail
  • Possess a creative outlook with a problem-solving attitude
  • Excellent time management, organizational, and follow-through skills
  • An ability to respond quickly and accurately to requests for information
