Purpose of role
Assist in creating a world class impression by providing Travelstart clients with outstanding,
efficient
and friendly first point of contact with our company. Manage the general Travelstart Head Office
administration and work closely with the Office Manager to drive Travelstart’s values and culture.
Responsibilities
Reception
- Create a world class impression as first point of contact when Suppliers, Customers and other
visitors come into our offices
- Ensure that the space is always neat and tidy
- Ensure that visitors are warmly welcomed and that hosts have been notified by Envoy
- Offer visitors refreshments
Phones
- Be an excellent first impression when answering the phone
- Direct customer calls to the correct teams / assist where possible
- Take messages where required and forward those to relevant team members
- Know the basic TS FAQs to resolve basic queries
Board and Meeting Rooms
- Coordinate meeting room schedules
- Ensure that rooms are neat and tidy in preparation for meetings
- Ensure that rooms are stocked with markers, etc
Office
- Process invoices
- Arrange Couriers
- Update staff lists (birthdays, etc)
- Office Health & Safety: Check that first aid box is equipped and functional
- Track and order stationery
- Coordinate parking bays; arrange when required
- Order and manage access tags
- Track and order office supplies
- Assist with Fika (coffee shop) tasks where needed
- Ad hoc tasks
Events
- Provide support to Office Manager in planning and coordinating office events
Staff
- Assisting HR with new starter prep / welcome
- Birthday (or other) announcements
Technical Skills Requirement
- 4 years Reception/Office Admin experience
- Software: MS Word, MS Excel, Ms Outlook, MS PowerPoint, G-Suite
